Application information
April 2009 Graduation Ceremonies
Invitations to apply to graduate for the April 2009 graduation ceremonies will be sent to prospective graduands late November 2008.
On line applications for these ceremonies will be accepted via StudentConnect only, from
Monday, 1st December 2008 to Friday, 30 January 2009. No late applications will be accepted.
- Dates and times of ceremonies can be viewed on the ceremony information page.
- If you have not received your invitation to apply to graduate by the end of December 2008 and believe that you have completed the requirements for your degree you should contact Customer Service or phone
(03) 9244 6333.
- Applications for the April 2009 graduation ceremonies will be accepted via StudentConnect between Monday, 1 December 2008 and Friday, 30 January 2009. No late applications will be accepted.
- You will not be able to access the Graduation Invitation outside this period. If you try to access the graduation invitation outside the application period you will receive a message indicating that you have not been allocated to a ceremony.
- You will need your Deakin user name and password to complete the application process.
- If you choose to attend the graduation ceremony, payment should be made online by credit card at the time of application. If payment is not made at time of application a cheque/money order made payable to "Deakin University" together with your name and student number should be sent to: Graduations Office, Deakin University, Waurn Ponds Campus, Geelong. Victoria. 3217 within seven (7) days of application to finalise the graduation process. Alternatively, payments can by made via the online invoice system on StudentConnect. (see 'Current Invoices'
- If you do not wish to attend the graduation ceremony but want to receive your testamur you should select the
'in absentia' option. There is no charge to graduate in absentia and your testamur will be sent by registered mail to your postal address as recorded on StudentConnect after the completion of the ceremony round. Please allow 3 - 4 weeks for delivery.
- Please ensure that your postal address, contact phone number and non-Deakin email address is current on StudentConnect to ensure safe delivery of your testamur.
- Upon confirmation of eligibility of your degree by the Faculty you will be sent an Academic Transcript, please check this transcript and if you believe that it is not correct please contact the Graduations Office immediately as this may affect the information on your testamur. Please pay particular attention to the majors/specialisations (if applicable).
IMPORTANT - If you do not submit your application you will not graduate and therefore will not receive your testamur (graduation certificate).
PLEASE NOTE: Late applications will not be accepted.
DO NOT wait for your results to be finalised, you must lodge your application by the closing date.
YOU MUST apply to graduate even if you do not wish to attend a ceremony (select the in absentia option)
PLEASE CHECK that your application was successful on StudentConnect - Graduation - Inquiry. You can also use the 'Graduation- Inquiry' function on StudentConnect to check you eligibility status once you apply.
PLEASE ADVISE the Graduations Office if you wish to defer your graduation to a later round of ceremonies.
ENSURE that your postal address, telephone number/s and email address is current.

Deferral of Graduation
If you have been sent an invitation to submit your application to graduate and wish to defer your graduation please advise the Graduations Office in writing to make the necessary arrangements.
Encumbrances
Under the University's legislation, students with an encumbrance for outstanding fees or charges are not able to graduate until the encumbrance is lifted. Please contact the Graduations Office if you believe you have completed your degree and have recently cleared the encumbrance from your record.
Important
It is your responsibility to pay any outstanding debts you may have to Deakin University. If you still have a debt on Friday 6 March 2009 you will not be eligible to graduate. This is non-negotiable and we will strictly apply this ruling without exception.
If you are still in debt at the date indicated above and have applied to graduate please note the following:
- Your application will be cancelled and you will not be able to graduate.
- The settlement of any outstanding debts after 6 March will resolve your debt, however, we will not be able to restore your place in the graduation ceremony and you will need to apply for the graduation ceremonies to be held in October 2009.
- If family or friends wish to make payments to clear debts on your behalf please be aware that the university is not at liberty to discuss the matter with them due to the privacy act, this means that we can only discuss your debts with you and not a third party, even if that third party is a family member.
Important - Please be aware that although you may be clear of debt at present it may still be possible to accrue debt between now and your graduation date eg: library fines, if this occurs your graduation application will be cancelled.
If you have any queries about outstanding debts please contact Customer Service. Once your debt has been cleared you should advise the Graduations Office.

Deemed Ineligible for an award
If you have applied to graduate and have been deemed ineligible for your award and believe that you have completed the requirements for your award you should contact your Faculty immediately and ensure the Graduations office is also advised.
If you have applied to graduate and are not yet eligible for your award you will be sent a new invitation to submit an application to graduate for the next round of ceremonies and you will need to submit your application via StudentConnect. A refund of monies will be sent via our Finance Division in due course.

Gradsearch
Once you have graduated, your qualifications will be included in a Deakin University service called GradSearch.
GradSearch is an online qualification verification tool that provides Deakin graduates, and potential employers of Deakin graduates, with the ability to verify their Deakin qualifications online and instantaneously. Please note that it does not provide a full transcript of results.
