Deakin Financial Management System

Deakin Financial Management System (DFMS or Oracle Financials) is run off a Linux RAC server, which is located at the Waterfront Campus. Therefore, to be able to access it your computer must be networked or have a modem. Your printer must also be fully networked to be able to print reports from the DFMS system.

Access

To obtain access to DFMS you need to fill in the DFMS Application Form, and have the head of your budget centre approve the application. Access is given within 24 hours of the application form being received by Accounting Systems.

Financial Delegations

The Financial Delegations - Enabling Policy details the "Authority to Approve Purchases/Internal Requisitions and Payment of Accounts".
"Staff holding positions designated in Schedule 1 - Reimbursement of Expenditure Incurred by Staff may approve expenditure (within approved budget) to the limits stipulated in that Schedule."
The Acting Financial Delegation Request online form will notify Financial & Business Services Division that you have delegated your financial authority to another staff member whilst you are on leave, in accordance with Paragraph 6 of the Financial Delgations - Enabling Policy, which states that "Staff appointed as 'Acting' take full authority of the position unless otherwise stated."

Before you go on leave you must also set up a re-routing rule to re-direct your notifications in DFMS if you know that you are going to be unable to process your notifications. Follow the instructions in Redirecting Notifications or from page 74 in the Purchasing User Guide.
The Financial Delegations List (xls file - 47kb) is a list of those staff who have authority to approve purchases/internal requisitions and payment of accounts.
The Staff who can Approve Reimbursements (PDF file - 14kb) is a list of staff who can approve staff expense reimbursements.

Training

Training sessions are run the first Tuesday of the month at Waurn Ponds, and the second Wednesday of the month at Burwood from February to November. The training sessions are free and you can go to as many as you want. If you cannot make it to one of the listed training sessions we can arrange for personal training. Reports and Enquiries - how to run reports and enquire on POs and Invoices to see if they are paid
Accounts Receivable - how to raise a University invoice
Expense Reimbursements - how to enter staff expense reimbursements online for business related expenses over $250.
