University Vehicles

The University’s motor vehicle fleet is managed by the Supply Group and must be operated in accordance with the University’s Motor Vehicles Operational Policy and Procedures.   Webfleet Fleet Management Consultants provide the University with a fleet administration database and advice on operational management.

The University's fleet of vehicles are separated into the following categories:-

- Assigned Vehicles
University vehicles that are assigned to an individual staff member as part of their terms of employment.   Assigned vehicles must be operated in accordance with the Conditions of Use for Assigned Vehicles.

- Non-Assigned Vehicles
The University maintains a central pool of vehicles for staff members to use on University business.   Some budget centres maintain departmental vehicles for staff to use on University business.   These vehicles must be opeated in accordance with the Conditions of Use for Non-Assigned Vehicles.

- Commercial Vehicles
These vehicles are University non-passenger vehicles used soley for commercial purposes.   They are classified as non-assigned vehicles.

- Other Vehicles
Vehicles that are registered in the name of Deakin University but do not fall into one of the above categories e.g. boats, trailers

All staff using, administering and/or responsible for a University vehicle should make themselves familiar with the responsibilities and conditions incorporated in the motor vehicle policy document.

In case of an accident, a copy of the University's Motor Vehicle Accident Procedure is located in the glovebox of all University vehicles. All staff who drive a University vehicle should familiarise themselves with this document.   Insurance claim information is also contained in the glovebox of every University vehicle.   Any queries should be directed to the Fleet Management Officer.

Every University vehicle is provided with a fuel card.   The University currently has a contract with Shell Company of Australia for the provision of fuel cards.   Vehicles must be refuelled at a Shell service centres.   The cost of the fuel/oil is automatically debited to Deakin University and charged to the relevant budget centre by journal download.   Odometer readings must be given when presenting the fuel card for payment.

Most University vehicles are provided with eTags.   When using a toll road, the eTag will beep each time the vehicle passes a sensor.   Charges are automatically recorded and debited to the University’s Citylink account.   Individual vehicle charges are journalled to budget centres on a monthly basis.   If the eTag does not beep when the vehicle passes a sensor, please contact the Fleet Management area immediately.
