ARC Application Process

The details below are correct for current applications. Scheme specific material is updated as it become available from the ARC. Material from the immediate past round is left in place to allow those planning applications to do so with the most current advice. Applicants should consult the Deakin internal timetable to keep abreast of requirements in the current year. It is expected that processes associated with GAMS will change significantly in the second half of 2008 as ARC introduce a new Research Management System (RMS). Applicants will be advised about these changes once they become clear.


General Information

The application forms for all ARC Grants will be available via the GAMS entry page. A GAMS ID and password are required.

Existing GAMS IDs remain valid but new applicants can request IDs by emailing the Research Services Division and providing their full name, title (eg Dr) and date of birth.

Applications for GAMS IDs for Partner Investigators should be made by the PI by emailing their request (including the above information) to either gamsids@arc.gov.au or to the Research Services Division as we are now able to apply on their behalf if we have their organisation and personal details. It will be vital that they log on using the ID and password provided and fill in the remaining details in their 'User Info'.

Instructions on the use of GAMS

The application form should be created by the first CI. Their GAMS id will then be the only one that provides write access to that application. Any investigators included in the application via their GAMS id will have read access but cannot make changes to the data. Save regularly during your session on GAMS - we all know the frustration of losing data when an internet connection drops out. A rich text format version of the file created by GAMS can be downloaded to the applicant's computer using the Print option which appear to the right of the application summary (what you see when you first log on after having previously started an application). It is essential that the version sent to the Research Services Division exactly agrees with that entered on GAMS - please do not modify the rtf file independently from data entered onto GAMS.

Review Process

For draft proposals for text review, we will require an electronic version of the application - the priority here is the text sections (B7, C2 & 3, D2, E).

For checking of final versions it is worth sending one hardcopy of the text sections so that we can ensure that our interpretation of your formatting is correct - Word files contain style information which can be reinterpreted when transferred from one machine to another. Please ensure that the information on GAMS is the same as that contained in the copy submitted to us. We will then check the application for compliance with ARC and Deakin requirements and advise you accordingly in time to effect corrections.

Please do not send us multiple version of your application during this two week assessment period. If you spot an error which you wish to correct then phone or email to arrange the best way of effecting the change with the minimum of fuss. Multiple versions of the same application give rise to potential confusion when assembling the final version of the application. We cannot guarantee that we will be able to circulate hard copies of the final version to applicants prior to submission although we will endeavour to do so.
